Assistant to the International Director Region (f/m)


The mission of the International Director Region (IDR) CEE/CIS is the accountable leadership and management of the assigned region. The incumbent will support the IDR in his leadership role by ensuring smooth, effective and efficient processing of administrative and organisational tasks. S/he is the contact person for Crisis Management, the focal person for Integrity and Compliance issues in the region as well as for Procurement Management in the IOR (International Office Region).

Tasks and Responsibilities
  • Fulfil administrative and organisational tasks (e.g. time schedules, correspondence, documentation and filing, minutes, travel arrangements) to support the IDR in running the IOR
  • Organise meeting, travel logistics and facilitation of meetings
  • Provide liaison and manage/coordinate internal communication in order to ensure a smooth and efficient flow of information within different stakeholders
  • Be the contact person for and support coordination of crisis management, for integrity & compliance issues in the region as well as for procurement in the IOR Vienna office
  • Provide first level technical and general assistance and support to IOR Vienna, including maintaining and managing the virtual collaboration platform
  • Prepare reports and presentations in order to support the IOR/IDR in reporting obligations
  • University Degree in business administration or other relevant subject area or relevant technical diploma/certification in Office/Business Management with considerable relevant experience
  • At least 3 to 5 years of professional experience in administrative and operational support
  • Previous experience of working in an international environment/organisation would be beneficial
  • Proactive, solution-oriented and structured way of working
  • Highly proficient in the use of Microsoft Office tools (PowerPoint, Excel)
  • Used to work independently and proactively with a high sense of discipline and self-management
  • Strong organisational skills and demonstrated ability to multitask and judge priorities under tight deadlines
  • Demonstrated ability to ensure total discretion and confidentiality
  • Fluent English and German language skills
  • Applicants must hold a valid Austrian working permit or be eligible to work within the EU
