As a non-governmental social development organisation, we help children and young people without parental care, families in difficult living conditions through services in care, education, health and emergency relief and we advocate for children’s rights. Executive Assistant to the International Director Fund Development (f/m)

Location: Vienna/Austria


Tasks and Responsibilities
  • Manages operational and administrative aspects for the International Director (ID) of Fund Development (FD) and its Management Team, including but not limited to maintaining the schedule of the ID, general correspondence, organising meetings and managing the department’s virtual collaboration platform

  • Manages the FD budget including coordinating the planning and monitoring process with all FD departments and liaising with the ID FD and finance

  • Coordinates the planning and implementation of strategic objectives within FD with relevant stakeholders and ensures follow up as required

  • Supports ID FD with external and internal networks, meetings and projects

  • Manages and coordinates FD projects as needed, including managing or coordinating project teams, and providing content support as necessary

  • Maintains good communications and relationships with different stakeholders internally and externally

  • Provides content support for the International Director Fund Development in the preparation of meetings including research and presentation materials

  • Bachelor Degree in or relevant technical diploma/certification in Office/Business Management or similar with considerable relevant experience

  • At least 3 to 5 years of professional experience in a relevant setting ideally within an international NGO with a similar focus as SOS Children´s Villages International

  • Experience in project management, event management and/or providing administrative support and oversight ideally relevant to fundraising, sales and marketing, or customer service including strong organizational skills and demonstrated ability to multitask and judge priorities under tight deadlines

  • Ability to ensure total discretion, confidentiality and strong personal skills

  • Experience in dealing with senior officials/stakeholders inside and outside the organization ideally in a non-profit setting

  • Experience working in a team within a multicultural setting and demonstrated ability to communicate and interact responsively and tactfully with staff at all levels with a high level of professionalism diplomacy and discretion

  • Used to work independently and proactively using sound judgment and problem-solving skills in dealing with unexpected situations often within tide deadlines

  • Oral and written fluency in English and German is required; Spanish, French, or other multi-country language would be a distinct advantage.

  • Highly proficient in the use of MS Office tools including EXCEL and Word. Other technical IT skills an advantage.

  • Strong work ethics and professionalism

  • Applicants must hold a valid Austrian working permit or be eligible to work within the EU
