Executive Assistant to the Chief Executive Officer (f/m)

Location: International Office, Innsbruck/Austria

Mission

The Executive Assistant to the CEO will be responsible for coordinating and implementing a wide range of administrative, communication, and logistical tasks in support of the CEO’s leadership. The role is both a critical and exciting one in helping the CEO and organisation be efficient and successful. As a key contact point for both internal and external stakeholders, you will have a front row seat to the highest level of work of one of the world’s largest child-focused iNGOs, contributing daily to ensuring that many more children and youth have loving home and an equal chance to succeed in life. 

Tasks and responsibilities

As Executive Assistant to the CEO, you will:

  • Provide general administrative support, including interfacing with stakeholders and staff in countries worldwide, managing an action-packed schedule, booking and strictly monitoring complex international travel, organising and prioritising emails, creating presentations and draft correspondence, organising and updating contacts, placing calls and taking diligent notes, filing all correspondence & documents in their proper places, tracking and submitting expenses, etc.
  • Work closely and effectively with the CEO to keep him well-informed of upcoming responsibilities to ensure organised, efficient operations, especially ensuring smooth and efficient collaboration with Assistants to the President, CFO, COO and Chief of Staff (CoS)
  • In consultation with the CoS, use detailed knowledge of the federation to prioritise conflicting needs, handle matters expeditiously, and enthusiastically follow through on tasks and projects to successful completion
  • Handle sensitive business and confidential information with discretion, tact, and diplomacy
  • Actively seek ways to streamline office processes that build on our collaborative work environment
Requirements
  • Bachelor’s degree in business administration, international relations or related field
  • Minimum of 3 years of experience as an executive assistant or equivalent transferrable experience, preferably in an international context
  • Excellent interpersonal skills and the ability to build relationships with internal and external partners at all levels
  • Strong ability to prioritize, plan, and perform multiple urgent tasks swiftly and seamlessly with a proactive, focused, solution-oriented and structured way of thinking and working
  • Sound approach to efficiency: constantly engaged in improving results by contributing to the study, evaluation and re-design of processes, and then implementing those changes
  • Intense sense of discipline and self-management yet are comfortable with ambiguity; can handle the unexpected with flexibility and a positive attitude
  • High level technical competency with Microsoft OS (Excel, Word, PowerPoint, Outlook, etc., as well as virtual collaboration tools), and actively investigate relevant technology and build the skills to use it
  • Fluency in English both orally and in written form, and a good command of German
  • You must hold a valid Austrian working permit or be eligible to work within the EU
